This policy is effective immediately and applies to all departments, student organizations, and external clients planning events involving external food service providers.
New 5.4.1 External Food Service Provider Policy
Winthrop University has adopted a new External Food Service Provider Policy to establish a consistent process for requesting food trucks, outside caterers, and other external food service providers on campus. The policy supports the University’s exclusive dining services agreement with Chartwells while providing a clear approval process for departments, student organizations, and external clients.
What You Need to Know
Food Trucks
If your event includes a food truck, you must:
External Catering
If you plan to use an outside caterer or other external food service provider, the same approval process applies. External catering cannot take place without written approval from Chartwells. Approval must be obtained before services are provided on campus.
On-Site Grilling and Cooking
Departments, student organizations, and external clients may not independently grill, cook, or otherwise prepare food as part of an organized campus event. All requests for on-site grilling or cooking must be coordinated through the Office of University Events and Chartwells.
Please Note: This provision does not apply to individuals grilling at their own vehicle for personal consumption while tailgating. This exception is limited to individual tailgating activities. It does not apply to tailgates or other activities that are planned, sponsored, promoted, or coordinated by a University department, student organization, external client, or other organized group, or that involve catered food or the sale of food or tickets.
$250 Food Purchase Exception
Departments and student organizations may continue to purchase food from external sources valued at $250 or less per event without Chartwells approval.

Additional time may be required for vendor documentation, insurance verification, and operational review.
